Auto Receipt for Cash Sales in TallyPrime

This add-on creates Receipt vouchers automatically when the customer pays at the counter, whether by cash, UPI such as GPay or PhonePe, bank transfer or cheque, and including part payments.

You enter the sales invoice against the customer ledger as usual. Receipts are then created in one action from Gateway of Tally and then Auto Receipt, with the party name, the against-bill reference (Agst Ref) and the narration filled in automatically.

Credit sales are left alone. If you mark a sale as Credit, no receipt is created and the bill stays outstanding.

What it does

What the Auto Receipt for Cash Sales add-on changes

  • No separate receipt typing after each cash, UPI or bank sale
  • Party ledger, cash or bank ledger, Agst Ref and narration are all posted correctly
  • Credit sales stay as credit - no receipt is created for them
  • Full payment and part payment are both supported
  • Safe to run again: bills that already have an auto receipt are skipped

Setting it up, once

    Take a backup

    Take a backup of your company data before activating the add-on.

    Update your license

    Go to Gateway of Tally, then F1: Help, then Settings, then License, then Manage License, then F5: Update. On a multi-site account the add-on has to be configured for the particular site before this step.

    Restart TallyPrime

    Shut down and restart TallyPrime, then open your company.

    Activate the add-on

    Go to Gateway of Tally, then F1: Help, then TDL & Add-On, then F6: Add-On Features. You can also press Ctrl + Alt + T from any menu to open the TDL Management report and then press F6. Set the option Enable Auto Receipt for Cash Sales to Yes.

    Set the default ledgers

    Set the Default Cash Ledger and the Default Bank Ledger, and the receipt voucher types if you use separate cash and bank receipt types. The same settings can be reopened from Gateway of Tally and then Auto Receipt Setup.

After activation the Gateway of Tally shows two new items: Auto Receipt Setup and Auto Receipt.

Step 1 - the sales invoice and Type of Sale

Create a sales voucher and select the customer ledger in Party A/c name, not Cash. Two lines appear under the party: Type of Sale, and Received In (Cash) or Received In (Bank).

On a new sales invoice Type of Sale defaults to Cash. Press Enter on it and select how the customer actually paid. Choose Credit if the customer will pay later.

Cheque No, UPI Ref and Customer UPI ID are optional. Fill them only when you want that reference on the receipt; press Enter past them for a fast counter entry.

Step 2 - Bill Amount and Received Now

Enter items as usual. At the foot of the invoice you will see Bill Amount, Received Now and Balance. Bill Amount is filled automatically.

Leave Received Now blank when the customer pays the full bill. Type an amount into it for a part payment, and the balance stays due.

For example, on a bill of 20,000 where the customer gives 12,000 now, type 12,000 in Received Now. The balance becomes 8,000 and the auto receipt is created for 12,000 against that bill. Enter the remaining 8,000 later as an ordinary receipt voucher - the add-on creates one auto receipt per sales invoice.

Step 3 - run Auto Receipt

After saving the sales invoices, go to Gateway of Tally and then Auto Receipt. A message reports the period, the sales found, the receipts created, how many were already done, and how many were part payments.

The add-on looks at the current company period, from the From date to the To date. Clicking again is safe: bills that already have an auto receipt are skipped.

Step 4 - open the receipt

Open the receipt from the Day Book or from the party ledger. The party name, the cash or bank account, the Agst Ref bill number and the narration are already filled in. The narration reads Against Sales Invoice No. or Part payment against Sales Invoice No.

Notes

  • If Party A/c name is Cash and Buyer (Bill to) is a customer ledger, the add-on switches the invoice to that customer and treats it as a cash sale. With no buyer ledger it is a walk-in cash sale and no auto receipt is created, because Tally already books that sale on Cash.
  • Auto Receipt picks up sales invoices in the current company period whose Type of Sale is Cash, Bank or UPI and which are posted to a customer ledger. Older invoices with no Type of Sale are ignored.
  • The add-on applies to Sales vouchers, not to POS invoices.
  • The add-on works in a remote session.
FAQ

Questions we get about this add-on

Which release of TallyPrime does the add-on support?

It works from TallyPrime Release 1.0 onwards. If you upgrade TallyPrime and hit a problem with the add-on, contact us for support.

Type of Sale does not appear on the sales invoice.

Confirm the add-on is activated - under F6: Add-On Features, Enable Auto Receipt for Cash Sales should be Yes. Restart TallyPrime and open a Sales voucher rather than a POS invoice, with a customer ledger in Party A/c.

Are Cheque No and UPI ID compulsory?

No, they are optional. Fill them when you want that reference on the receipt. The receipt is created either way and still posts to the correct cash or bank ledger.

Will credit sales create a receipt?

No. Type of Sale set to Credit means the customer will pay later, so no receipt is created.

I clicked Auto Receipt twice. Will it create duplicates?

No. Bills that already have an auto receipt are skipped, and the message reports how many were already done.

The customer paid only part of the bill. How do I collect the rest?

Type the amount received into Received Now. The auto receipt settles that much against the bill. Enter the remaining balance later as a normal receipt voucher, because the add-on creates one auto receipt per sales invoice.

Does this add-on work on POS invoices?

No. Type of Sale is for Sales vouchers, not POS.

Can I use the same add-on across multiple sites?

No. One add-on works for one site. Configure it per site through the Control Centre under TDL Management, then update the license from the product.
