The party ledger shows one balance. The Outstanding Receivables report shows another. Somebody asks the owner what a customer actually owes, and the honest answer is “it depends which report you open.”

TallyPrime is not doing anything wrong here. The two reports are answering two different questions, and once entries stop being cleanly tied to a bill, the gap between them only grows. The problem is not that the software is wrong. The problem is that somebody has to sit down every month and reconcile two numbers that should have agreed in the first place.

Why the two figures disagree

The ledger balance is plain accounting - every debit and credit posted to that party, netted off. Nothing can go wrong with it because it does not depend on anyone tagging anything correctly.

The Outstanding report is bill-wise. It only knows about amounts tied to a bill reference of one of these kinds:

  • New Reference - this voucher opens a bill to be settled later
  • Against Reference - this voucher settles an existing bill
  • On Account - money received or paid with no bill attached
  • Advance - money received before the bill exists

Every rupee that lands in the ledger without a correct bill reference behind it is a rupee the Outstanding report cannot place. A receipt entered as On Account instead of Against Reference, a journal write-off with no reference, an opening balance brought in without its bill-wise breakup - each one is small. A year of them is not.

What used to happen next

Fixing the underlying data is still the right first step, and no add-on replaces it. If your bill references are wrong, correcting them is the actual fix - a report that hides a mismatch is worse than one that shows it, because at least the second one tells you something is wrong.

But once the data is clean, the old way of keeping it clean was manual: export both reports to Excel, line them up by party, and check the totals agree. Every month. For every party with any volume of transactions. That workbook becomes the real cost - hours of somebody’s time, always slightly out of date, and useless the moment the person who maintains it is on leave.

The one-click version

The customisation in the video above does that reconciliation inside TallyPrime itself, on demand, instead of in a side spreadsheet. It pulls the party ledger and the bill-wise Outstanding position together, matches them, and surfaces any difference directly rather than leaving you to spot it by eye across two separate reports.

The practical difference is what stops happening: nobody exports two reports to Excel and lines them up by hand before a collections call. You open the report, and if ledger and outstanding agree, you see that in one place. If they do not, you see where.

We build this as a licensed TDL add-on rather than a one-time script, because TallyPrime does get updated, and an add-on that is not maintained against new releases eventually breaks quietly - usually right when you need the report for a month-end close. The renewal keeps it working against current TallyPrime releases and gets you fixes if Tally changes something underneath it.

It is priced by how many people need to pull the report at once. A single accounts person working from one PC needs the Silver tier. If more than one person in your office runs this report - a collections team, or accounts plus the owner - you want the Gold tier so it works for everyone with the company open at the same time, matching how your TallyPrime licence itself is already split between Silver and Gold.

What to check in your own books first

Before you call anyone, three checks will tell you how big your gap actually is:

  1. Open the party ledger and the Outstanding report for the same party, same date. Note the difference.
  2. In the Outstanding report, look for amounts sitting under On Account. That is usually where a mismatch is hiding.
  3. Check whether bill-wise details were switched on for that ledger from day one, or turned on partway through - a common source of orphaned opening balances.

If the gap is confined to older periods and recent entries are clean, you have a one-time cleanup to do, and the add-on then keeps it that way. If the gap is showing up in current entries too, that is a process problem on the data-entry side, and no add-on fixes that on its own - the entry habit has to change first.

Frequently asked questions

Does this replace fixing the underlying bill references?

No. If your existing data has entries without correct bill references, those still need correcting - the add-on keeps a clean ledger reconciled going forward, it does not retroactively guess which bill an old, untagged entry belonged to.

What is the difference between the Silver and Gold tiers?

Silver is for a single person running the report from one PC. Gold is for multiple people needing it at the same time - the same distinction TallyPrime itself makes between its Silver and Gold licences.

What happens if I do not renew?

The add-on keeps working against the TallyPrime release it was installed on. The renewal covers compatibility with new TallyPrime releases and any fixes needed if Tally changes report or ledger behaviour underneath it.

Will this work with my existing bill-wise setup?

Yes, as long as bill-wise details are enabled on the party ledgers you want reconciled

  • that is a standard TallyPrime setting, not something specific to this add-on.
